Facilities Coordinator
Work Dynamics - Integrated Facilities Management
Location: Batam
What this job involves:
Ensures all facilities are operated and maintained in alignment with established standards and procedures.
Develops and maintains positive client relationships. Conducts client meetings on unresolved facility issues in an expeditious and professional manner. Communicates to clients regarding property profiles, emergency preparedness plans, site inspections, facility audits, work order progress reports, and other related reports.
Responsible for headcount and performance metrics tracking & reporting in order to ensure all operational processes and procedures are executed in a consistent & standardized manner globally.
Responsible for ensuring smooth running of facility operations such as reception, space management, MAC services and parking.
Act as primary contact for assigned site’s contractors and vendors. Collaborate with cross-functional partners such as HR, IT, Corporate Security, Safety/Emergency Preparedness, Business Assurance and Business Continuity.
Develops, cultivates and owns key relationships with Landlords, Property Management companies and third party service providers and vendors.
Further develops standards and procedures as business and customer needs evolve.
Manages supplier contracts, and holds regular (minimum monthly) meetings with supplier representatives, ensuring that agreed operational (supplier KPI’s) and financial (cost vs Budget) performance is achieved for each contract.
Ensures contractual performance (both operational – client KPI’s, and financial – monthly and annual cost within the agreed Budget) of his/her assigned building is achieved.
Inspect facilities and equipment to determine extent of service and equipment required. Recommend, justify, develop and coordinate with the Client team, projects that enhance the value of the office buildings.
Arrange for maintenance, upkeep, or reconditioning of facilities as specified in the operating procedures, the management plan and/or management services agreement and of leased premises.
Develops and recommends strategic facility management objectives for clients.
Aligns the environmental health and safety procedures for facilities for each office location.
Ensures facility procedures comply with local, state, and federal regulations.
Maintains various facility management reports.
Oversees management of minor capital projects when necessary.
Responsible for security manned guarding provision.
Prepares and delivers performance appraisal for staff. Mentors and coaches team members to further develop competencies. Leads by example and models behaviors that are consistent with the companys values.
Assist with Client move-in/move-out process to minimize disruption to day-to-day business.
Assure compliance with Best Practice documents with the assistance of the RFM. Assure compliance with Jones Lang LaSalle policies, procedures and standard practices.
Directly supervise employees reporting to the assigned buildings. Carry out supervisory responsibilities in accordance with the policies detailed within the Jones Lang LaSalle Personnel Handbook and applicable laws. Ensure training of staff to fulfil legal requirements, especially in the area of fire protection, technical safety and personal safety.
Make at daily tours of all of the assigned office buildings and grounds.
24 hours on call to resolve emergencies as fast as possible in a professional way.

Key Performance Indicators (KPI’s)
Financial compliance against Budget
Customer satisfaction survey rating: must achieve Account Targets.
Work order closure within agreed timescales
Compliance with the Health and Safety responsibilities.
High Customer Satisfaction rating as measured in regular surveys.
Compliance with Best Practice documentation.
Languages: Bahasa Indonesia native or bilingual, fluent in English.
Excellent organisational skills required.
Strong interpersonal skills with training experience to guide multifunctional teams.
Excellent PC skills, proficient in Microsoft Word, PowerPoint and Excel. Knowledge of Corrigo will be advantageous.
Interest in continuous improvement and development of new technologies.
At least 2 years experience working as a Facilities Coordinator or Junior Manager.
